Screen Shot of iOS email in boxWhy do so many organizations waste the opportunity to hook their email subscribers with the first line of the email message? I hadn't really noticed this sooner because of the way I consumed email: through a series of complicated email aliases and gmail filters.  Honestly, in Gmail, I was basically ignoring most solicited bulk email (organization email lists). But since I've been taking a first look at my email through my iPhone and iPad using the iOS mail app, I've begun to notice this shocking fact.

Here are some facts about viewing email via the iOS mail app:

  • Approximately 35 to 40 characters of a subject are displayed
  • Approximately 100 characters from the top of the email message are displayed

Two lines at 50 characters, and a subject of 35 to 40 characters. That's basically a Tweet.  And that (plus the "from" name) is all you have to get your reader's attention and convince them to open the email message and read on.

Why do so many emails waste this space with something like:

  • "Click to view this email in a browser" (37 characters)
  • "Is this email not displaying correctly? View it in your browser." (64 characters)
  • "If you're having trouble viewing this email, you may see it online." (68 characters)
  • "Web version | Edit your subscription | Unsubscribe" (55 characters)

We often hear the question, "What email service provider do you recommend?" from clients, prospective clients, or even just friends.  For those using CiviCRM we recommend using the built in CiviMail in conjunction with an SMTP service like CiviSMTP to handle deliverability issues.  But for those not using CiviCRM the answer is always a tricky one to arrive upon because there are so many different variables to consider: volume, pricing, east of use, reporting, and on and on.

Gmail Productivity Tip: Using the Shift Key to Open a New Window

I love learning and sharing tips that make my day more productive. Often times, it's the simplest ones I find the most useful.

If you're like me, you spend a significant portion of your day interacting on the Gmail web interface. However, one of my biggest pet peeves in Gmail is that when composing a new message I lose access to the rest of my mailbox, since it takes up the entire window.

Alas, I discovered the key! By simply by holding down the SHIFT key when clicking COMPOSE MAIL, a pop-up window appears, and access to the full mailbox is retained.

I have spent considerable time over the last year or so trying to get my data and systems set up to have email, contacts and calendars available both online and offline on both my main computer, my mobile device and online as a guest user on others computers. All the while keeping my inbox clean from spam and bulk mail, contacts synchronized and access my preferred user-interfaces and applications. Email Management Strategy Phase 2: IMAP with Gmail iPhone and Thunderbird

In Developing A Personal Email Management Strategy I discussed the sorting, filtering and processing of the seemingly endless flow of email I receive. Recently, I took the plunge and converted my non work email to IMAP in preparation for converting work email to the same. The goal is to be able to see important direct email on my iPhone without seeing all the list traffic, commercial communications and other solicited bulk email.

Developing A Personal Email Management Strategy

Last week I emptied my inbox completely. And from this point forward I pledge (to myself I guess) that I will only "check" email if I am going to "deal" with my email. Every email that lands in my inbox and is not filtered into a specific mailbox will be dealt with: archived, deleted, responded to.
